If I perform a mailing using someone else’s permit number can I still do a Full Service mailing?

I see an error message after uploading my Mail.dat files to PostalOne! that reads “The preparer permit is not properly linked to the user. No valid preparer permit found”. How do I fix this?
This means that even though your CRID and Permit Number are linked to each other, they are not linked to the Test Environment for Mailers (TEM). You can easily resolve this by calling the PostalOne! Help Desk at 800-522-9085, selecting Option 3, and then Option 6, and saying: “Please link our CRID and Permit Number to the Test Environment for Mailers.”

I'm a mailing service provider. I perform mailings for clients that have their own permit. If I perform a mailing for them do I need to have their MailerID or just their CRID?
Only their CRID.

If I perform a mailing using someone else’s permit number can I still do a Full Service mailing?
Yes. Once you are eDoc Full-Service Certified, you can prepare Full-Service Mailings using someone else’s Permit Number. If you use someone else’s Permit Number, make sure you also enter their CRID in the Mailing Statement Setup window in SmartAddresser 5, and in the same screen enter their CRID in the field called “CRID of Mail Owner” in “Name & Address of Individual or Organization for Which Mailing Is Prepared” option.

How do we address Mailing Date changes due to equipment failure or not being completed in the time allotted per the eDoc file creation?
If you need to change the Mailing Date prior to uploading to PostalOne!, simply open the database you presorted, and then pull down the File Menu to Print Presort. Then you can select the Reports button and change the Mailing Date to the current or future date and hit print. By printing to PDF or your Printer, the Mail.dat file will be updated with the new Mailing Date, and you can then upload this to PostalOne! using the Mail.dat Client.

The upload to PostalOne! Mail.dat failed even though the test validation passed... the error message reads "The .hdr User License Code cannot contain any spaces or special characters and it cannot be case sensitive." Can I go back and try again or must we start from scratch?
You will need to represort, and validate/upload again. However, before you begin, use Notepad to open the “C:Program Files (x86)DatatechSmartAddresser 2020 5.0iPresortINI DefaultsMAILDAT.INI” file, search for “USERLIC=”, and remove any values after the = character so the entire line appears as: USERLIC= Save your changes and close the MAILDAT.INI. Finally, open the “Demo” folder and delete all of the files and folders, except “Demofile.csv”.

When you go back to TEM and try to sign back in to upload a job again, it doesn't let you. It says that the job already exists.
This means the previous job uploaded successfully, but there were validation errors. This is why we suggest to first choose “Validate Only” and not “Validate and Upload” when in the TEM environment for the first time. To fix, simply Presort the list again, then print the Tags, Reports and Labels to update the Mail.dat files for Full-Service. You can then upload the new Maildat.hdr for Full-Service Certification.

We have a first class permit only. Would we still be able to submit these test files we produced as they were produced as standard mail?
If the First-Class Permit number is the same as the Standard Mail Permit number then, Yes. Otherwise, follow the steps outline in the TEM Full Service Instructions sent to you, but change the Mail Type to First-Class and ignore the Standard-Class option as written in the instructions.

If there are changes to the number of trays or the single piece weight, do we need to rerun the presort again?
Yes. If the presort parameters change, e.g., Tray Size, Piece Size, etc…, and not just the Mailing Date, you should presort again so that PostalOne! matches what you are actually dropping at the BMEU.

As a mail service provider, do I need a different Mailer ID and CRID for every client? What if they don't have one?
No. You can use your Mailer ID or CRID for every mailing if you are using your Permit Number to pay for the mailing. If the Client wants to use their Permit Number, then ask them for their CRID. If they are unsure of their CRID, have them log into the Business Gateway using their credentials, and access their profile, where they will see their CRID.

How do I delete a job that I submitted to TEM and resubmit it.
You cannot delete a job that you submitted through the Gateway for TEM. However, don’t worry - just presort your mailing and upload it as a new job. In time the older one(s) will be removed by PostalOne!

If a customer has their own permit, they need to provide both CRID and Mailer ID for Full Service. What if they don't have a Mailer ID?
If your customer wants to use their Permit Number, they would only need to provide their CRID.

Do I have to go through this process again for the First Class service?
No. Once you are Full-Service Certified for Standard Mail, you are certified for First-Class too.

No, but please make sure that each one has the same SmartAddresser 5 5.6.1 or higher version installed on it.

No. You do not have to use 271; however, Service Type 301 is not compatible for use with Full-Service mailings. Instead use 261 – No Services (Full-Service, No IMb Tracing).

If I process 5 jobs, is the statement sequence 1 through 5?
SmartAddresser 5 will “auto sequence” each job for you automatically. To turn this function ON, use your Windows Explorer and navigate to the “C:Program Files (x86)DatatechSmartAddresser 2020 5.0iPresortINI Defaults” folder. Open the “AdvancedSettings.ini” file with any Text Editor, like Notepad. If the “AdvancedSettings.ini” file is missing, you can create one using Notepad.
After the “AdvancedSettings.ini” is opened, type these two lines:
[STATEMENT]
AUTO STATEMENT SEQ NO=1
Then Save and Close the window.
In the Mailing Statement Setup window in SmartAddresser 5, enter your starting number in the “Statement Seq.#” box, e.g., 1 and click Continue to print. The next time the Mailing Statement window appears for a new presorted job, the statement sequence number will increment by 1.

What happens with non ZIP+4 addresses? Can they not be mailed at all or do they have to go out First Class or will there still be a Non-Automation Machinable rate?
You can simply check the “Include non ZIP+4 Records” in the Presort Setup screen in SmartAddresser 5 before presorting to include them in the Mail.dat files. The non ZIP+4 records will not get the Full-Service IMb discount, but they will be included in the mailing.

This error reads the .pbc barcode must be unique
This error indicates that you did not click the Print Labels button in the Print Presort window or you did not have Intelligent Mail Barcode selected. To correct this follow these steps:
- Open the Demofile.dbf
- Select File | Print Presort
- Click Labels
- When the Print Settings window appears, choose “Disk File” from the Output drop down, then check Print Barcode and Intelligent Mail and click Continue.
- Close the windows and upload to PostalOne! using the Mail.dat Client

In the PostalOne! system the following error is shown: The .pbc Barcode field must be populated with 31 characters when the associated .cqt service level indicator field is populated with F (Full Service)
This error occurs if you do not generate the Intelligent Mail Barcode data before uploading to PostalOne!. Before uploading make sure to do one of the following three things: either Preview Labels, Print Labels or Export the presort data.
